An ideal customer profile is useful when it changes who you target, what you say, and which opportunities you decline. A page of demographic characteristics is not enough.
I would start with the buying situation. Two companies in the same industry can have completely different urgency, budgets, and alternatives. The reason a customer acts often tells you more than the company category.
Use this customer profile

Build it from cases
Review a small set of actual customers and lost opportunities. Compare the situations rather than averaging everyone into a fictional buyer. Identify which characteristics repeatedly change the outcome. Keep uncertainty visible when your sample is small.
For a hypothetical scheduling product, “service businesses” might be too broad. A sharper initial profile could focus on multi-location teams whose managers manually reassign appointments after staff absences. That gives the team a trigger, a workflow to investigate, and a more specific demonstration.
Test the profile in execution
Write one ad, one outreach message, and one discovery question using the profile. If each remains generic, the profile needs more work. Ask a salesperson to identify a poor-fit opportunity using the disqualifiers. If that is impossible, your definition may be aspirational rather than operational.

When should the ICP change?
Change it when evidence changes your understanding of who gets value or can buy. Record the reason and effective date so the team can compare results before and after the change. Avoid rewriting the profile simply to include every inbound enquiry.
An accurate profile can improve both targeting and the decision to stop pursuing a lead. Use the customer interview process to investigate uncertain fields before treating them as facts.
